File import (CSV)

Moving from QuickBooks to Basmtak Books

You export the chart of accounts, customers, vendors, items, trial balance and open invoices from QuickBooks as CSV and upload them. Detail Type is read as the account's subtype, and Vendor is understood as a supplier.

A direct QuickBooks connection is not available yet; it needs an app registered with them.

How it works with QuickBooks

  1. Export from QuickBooks

One CSV per dataset, all as at the same changeover date. The list below says exactly what to export.

  2. Upload each file in its place

Each dataset has a CSV template with our columns if you would rather start from it, but the QuickBooks file as it is usually does.

  3. Review the mapping

We propose a column for every field, and you correct whatever we got wrong from a list. Required fields are marked, and anything missing is told to you before the preview.

  4. Preview and apply

The preview names every problem before anything is written. Applying is one transaction, and the undo is complete.

What you export from QuickBooks

  • Chart of Accounts with Detail Type
  • Customers and Vendors
  • Products and Services
  • Trial Balance as at the changeover date
  • Open Invoices and Unpaid Bills

The wizard lives inside the product: Settings → Data migration.

Automatic mapping

What we understand in your files

The mapping rules are the same for every source, and these are them as they are in the code:

  • Column headings are read in Arabic and English regardless of case and punctuation: «الرقم الضريبي», VAT Number and TRN are all the VAT number.
  • Values too: Customer, Client, عميل and مدين mean a customer; Vendor, Supplier, مورد and دائن mean a supplier.
  • Numbers with either separator: 1,234.56, 1.234,56, (1,234.56) for a negative, and Arabic-Indic digits ١٢٣٤ are all read.
  • Dates: dd/mm/yyyy, yyyy-mm-dd, «12 Mar 2026» and Excel's serial number.
  • An account's type is read from its whole phrase: «تكلفة المبيعات» and Cost of Sales are an expense, not revenue, and Bank Loan is a liability, not an asset. Anything inferred from a word inside the name is shown to you to confirm before applying.
  • A customer or supplier you already have is matched by code, VAT number or name and updated, never duplicated.
  • Whatever is skipped is told to you: an existing account code, an item with a registered code, a settled invoice with a zero balance.
What comes over

Seven things move, none of them halfway

01

Chart of accounts

Your tree with its codes, Arabic and English names, the type of every account and its parent. A code you already have here is skipped, never duplicated.

02

Customers and suppliers

With their names, VAT numbers, commercial registrations, email, mobile, payment terms and credit limit. A company that both buys from you and sells to you is recorded once, on both sides.

03

Items

Stocked products and services, with their codes, sale and purchase prices, cost and unit. An opening quantity becomes real stock, valued at its cost.

04

Fixed assets

The register with the purchase date, cost, salvage value and useful life, plus the accumulated depreciation up to the changeover date — so no asset is depreciated twice.

05

Opening balances

The opening trial balance becomes one balanced opening journal on the changeover date, and any difference is named for what it is in the opening-balance equity account.

06

Open invoices

Whatever your customers have not paid yet comes across as a real document with its balance and due date, so aging and statements work from day one.

07

Open supplier bills

Whatever you still owe your suppliers, with its numbers, references and balance, so your payables and their aging are right immediately.

Bring your accountant

The preview was written for an accountant to read: whether the trial balance balances, which account sits on which side, and where the trial balance and the open invoices might count receivables twice. Invite your accountant into your business with their own permissions, or let their firm run it from the firm dashboard.
