This feature comes with certain plans. If it is not in your menu, it is not in your business's plan.
For one bill: from the bill's page
Open the bill and press Record payment (1). The button shows while the bill is Issued or Partially paid.
Complete the payment
Amount starts at the bill's balance, and you can lower it to pay part of it. Choose the Date, Paid from and Method, type the transfer number in Reference if you have one, and press Save.
| Account | Debit | Credit |
|---|---|---|
| Accounts payable | 1,150.00 | |
| Bank or cash | 1,150.00 |
For several bills: one payment
In Purchases open the Payments tab and press Payment. Choose the supplier and the amount, and their open bills appear. Press Oldest first (1) to spread it from the oldest bill, or type your own figures under Applied amount (2). The payment will not save if more is applied than its amount.
Whatever is not applied to a bill stays under Unapplied as a prepayment to the supplier. Later, open the payment from the list and press Oldest first to apply it to their new bills.
Paying by cheque
Record a cheque from Payments, not from the bill's window, because the cheque fields appear only there. Choose Cheque under Method and fill in Cheque no. and Due date. The bill is settled now and the amount goes to notes payable; the bank is credited only when the cheque clears, from the cheques register.
What you see after paying, and how to undo it
The bill becomes Paid or Partially paid, and the payment shows in the Payments card with the Balance due. Accounts payable and the bank or cash balance both fall.
A payment cannot be edited. If it is wrong, open it from Payments and press Void payment: its journal is reversed and the bills reopen, then record it again. A cheque payment is cancelled from the cheques register.
