Know what can move
The wizard carries seven kinds of data, and you choose the ones you need:
- Chart of accounts
- Customers and suppliers
- Products and services
- Fixed assets
- Opening trial balance
- Open customer invoices
- Open supplier bills
Choose the source and the date
In the side menu, under Setup, choose Migrate data. Pick your current system (number 1), set the Opening balance date (number 2), name the run under Name this run if you like, and press Start (number 3).
The first day of your fiscal year, or the first day of a month, usually works best. Every balance is recorded on this date.
Follow the wizard's steps
Four steps show at the top of the screen. In Bring the data you upload files or pull from Qoyod. In Match columns you confirm what each column means. In Review you see in figures what will happen. Apply the migration then writes everything in one go, or nothing at all.
- Bring the data
- Match columns
- Review
- Done
Review before you apply
Nothing is written to your books before you apply. The review shows, for each kind, what will Create, Update and Skip, and its Problems. The apply button stays disabled until the problems are fixed and any inferred account types are confirmed.
Each kind reads its first 5,000 rows, and one file can be up to 10 MB. If yours is larger, split it across more than one migration run.
Understand the opening entry
The trial balance becomes one entry on the start date. If debit and credit do not balance, the difference goes to Opening balance equity so the entry balances, and you should review it with your accountant afterwards.
| Account | Debit | Credit |
|---|---|---|
| Bank | 50,000.00 | |
| Inventory | 30,000.00 | |
| Payables | 20,000.00 | |
| Capital | 55,000.00 | |
| Opening balance equity, the difference | 5,000.00 |
