Customer details a tax invoice needs

A valid VAT number and a complete national address. Complete them before you issue, because the invoice keeps them as they stand.

Complete the customer record

Under Records open Customers & suppliers and press Edit beside the customer. Complete:
  • VAT number (1): 15 digits, starting and ending with 3.
  • National address (2): street, building number (4 digits), district, city and postal code (5 digits). The Additional number is optional, and is 4 digits if you enter it.
For a customer outside the Kingdom, the street, city and country are enough. Then press Save.

Check the invoice type

When you pick the customer on the invoice, their VAT number appears under the name (1) and Books sets Invoice type to Tax invoice (business) (2). If they have no VAT number, a message says a simplified invoice will be issued.

Review before you issue

At issue, the customer's details are saved inside the invoice as they stand at that moment, and later edits to the customer record do not change them.
Books checks the VAT number at issue, but it checks the customer's national address when sending to ZATCA. A tax invoice issued with an incomplete address stays uncleared and, once you are connected, cannot reach the customer. So complete the address before you press Issue.

Messages you may see

  • A tax invoice needs a customer with a VAT number: add the number on the customer record, or issue a simplified invoice.
  • Invalid VAT number: check the number. It is 15 digits starting and ending with 3.
  • A message saying the customer's national address is incomplete: it names the missing fields. Complete them on the customer record for their future invoices. For the invoice already issued, contact support.
