How access works
Access is set per business. A person can be Accountant in one business and Viewer in another, and cannot open a business you did not add them to. The role sets the most they can be given, and the permissions narrow it further when you invite them.
The four roles
- Owner: every permission, and the only role that manages the subscription and payment. The last owner of a business cannot be removed.
- Accountant: can hold all six permissions.
- Admin: view, post, approve and manage banks, without closing periods or filing VAT.
- Viewer: view only, and can change nothing.
The six permissions
- View: read the books and reports.
- Post: create documents and journals and post them to the books, including bank operations.
- Approve: decide approval requests and set up approvals.
- Close periods: close fiscal periods, and change the company settings and branding.
- File VAT: the VAT return, and connecting the business to ZATCA.
- Manage banks: comes with the role, while bank operations themselves follow the Post permission.
Who runs the account
Anyone holding all six permissions acts as an account administrator: they add people and businesses and open the Audit trail. If you do not want that for someone, untick one of their permissions when you invite them. The subscription and payment stay with the owner alone.
Change someone's role
On the People tab press Manage beside the name and pick the new Role from the list. It is saved immediately with no save button, and the person gets all the permissions of the new role.
If your account is linked to Basmtak HR, the permissions of people who come in through it arrive from HR at each sign-in, so change them there.
