A journal that repeats, like an accrual or an amortisation instalment. Set it up once and it goes out on time.

This feature comes with certain plans. If it is not in your menu, it is not in your business's plan.

Open Recurring journals

In the side menu, under Books, choose Recurring journals. The page lists each schedule with its Next date, and the Raised column counts the journals it has made. Press New schedule to add one.

Choose the kind and write what repeats

Under Kind (1) there are two choices:

  • Standing entry: the same lines repeat unchanged. Enter the accounts and amounts; the schedule must balance.
  • Amortisation: one amount released over a number of months. Enter the Total amount, Months, From account and To account. The last instalment carries the odd halalas so the account ends at exactly zero.

Set the dates and how it posts

  • Starts, Ends and Maximum runs: how long the schedule lasts.
  • Day of month: 31 means the last day of any month, February included.
  • Every N months: 1 is monthly, 3 is quarterly.
  • How it posts (2): Post straight away posts on the date, Draft for review leaves a draft when one person prepares and another reviews.

A standing entry that posts straight away can also reverse itself on the first of the following month, which suits an accrual for a bill that has not arrived.

Follow what was raised

Each run creates an ordinary journal with its own number and status. Press a schedule row to see its whole plan and the journal for each date. From the same row, Raise now raises the next date, Pause stops the schedule and Resume brings it back. When something falls behind you will see Due now and a Raise what is due button.

If an entry did not go out, the State column gives the reason after Last attempt, most often a closed month. Deleting a schedule leaves the journals it raised as they are.

In an amortisation the amount, term and accounts do not change after the first instalment. If they are wrong, end the schedule and start another, so what was posted stays clear.
