Recurring invoices

For rent, subscriptions and retainers: one schedule that raises the invoice on time every month.

This feature comes with certain plans. If it is not in your menu, it is not in your business's plan.

Create a schedule

From Sales open the Recurring tab and press New schedule (1). Give it a name you will recognise in What repeats, and pick the Customer.
Create a schedule

Set the dates

  • Starts and Day of month (1): the day the invoice goes out. If you choose 31 and the month is shorter, it goes out on the last day.
  • Every N months: 1 for monthly, 3 for quarterly.
  • Payment terms (days): sets the due date of each invoice.
  • Ends and Maximum runs: optional, and the schedule stops at whichever comes first.
Set the dates

Add the lines and choose how it issues

Under Lines choose the items and quantities. If you leave Price empty, the Item price is used. Then decide: without the option (2) each invoice is created as a draft for you to check and issue. With Post it automatically instead of leaving a draft it is issued straight away. Then press Save.
With auto-post a real invoice with its number and journal goes out on the date with no review, and it can then only be corrected with a credit note. Either way the schedule only creates the invoice. Sending it to the customer is a separate step.

Keep an eye on it

The table shows Next, Per run and how many were Raised. From the row:

  • Raise now (2 in the first picture): creates the next document immediately.
  • Pause and Resume: stop and restart automatic raising.
  • The × deletes the schedule. Invoices it already raised stay as they are.

If raising fails, for example in a closed period, the reason appears beside Last attempt and the schedule stays due until you deal with it.

A paused schedule catches up when resumed: one invoice for each date it missed. Check Next before you press Resume.
