This feature comes with certain plans. If it is not in your menu, it is not in your business's plan.
Prepare the item
A schedule's lines are built from items only; they have no expense account field. So first create a service item such as "Showroom rent", tick Purchased and choose the right Expense / cost account.
Create the schedule
In Purchases open the Recurring tab and press New schedule at the top of the page. Then fill in:
- What repeats, the Supplier and Starts.
- Day of month (1), Every N months and Payment terms (days).
- Ends or Maximum runs if the contract has an end.
- Lines: the item, quantity and price.
Draft or automatic posting?
Left unticked, each bill arrives as a draft for you to check and post. Tick Post it automatically instead of leaving a draft (2) and it posts on its date. Press Save.
Automatic posting puts the bill in the books with no review, and a posted bill cannot be edited. Keep it for fixed amounts, not for a bill whose value changes each month.
Keep an eye on it
The list shows the Next date, how many were Raised and the State. Use Raise now to create the next bill straight away and Pause to freeze the schedule. Deleting a schedule leaves the documents it raised as they are. Each one is an ordinary bill with its own number and entry, paid like any other.
