This feature comes with certain plans. If it is not in your menu, it is not in your business's plan.
Start a new order
In the side menu choose Purchases, open the Purchase orders tab and press New purchase order. An order does not touch the books; it only records what you asked for.
Pick the supplier and the items
Choose the Supplier, the Date and Valid until, then add the items and quantities. If the item carries an agreed price for this supplier it fills in by itself, and a Min. order chip warns you when you order less than that.
Save the order and send it to the supplier
Press Save & send. The order takes a number and its status becomes Sent. This step does not reach the supplier by itself, so press Download PDF and send them the file your own way.
If your establishment has switched on approvals for orders, an Approval box appears on the order, and it leaves draft only after someone else approves it.
When the goods or the bill arrive
Open the order. You have two paths:
- Receive goods (1): when goods arrive before the bill or in parts, so they enter stock first.
- Convert to bill (2): when goods and bill arrive together, which creates a draft bill with the order's lines.
- Draft
- Sent
- Receive
- Bill
- Pay
Pick one path per order. If you convert it whole to a bill, do not record a receipt on it before posting that bill, or the bill and the receipt will both bring the same goods into stock. Press Convert to bill once: every press creates another draft.
Cancel an order
In the Order status card on the order's page press Cancelled, write the reason in the window and press Cancel the order. The reason is required and stays on the order.
