Know the three apart
- Default terms: standing text such as payment terms or your bank details, copied into every new invoice or quote.
- Notes: text for one document, written inside it.
- Invoice footer: a line at the bottom of every printed document.
Write your terms once
Open Settings and scroll to Default terms. Write your Invoice terms and Quote terms, up to 2000 characters each. The Invoice footer is the field just above them. Then press Save at the end of the form.
Will it not save? The same form needs the national address to be complete, so finish that further up, then save.
Adjust them on the document
When you create a new invoice or quote, the Terms box already holds your text. Change it if you need to, and the change applies to this document only. Use Notes for anything about this customer. Notes and terms both appear on the printed document.
Changing the terms in Settings does not alter earlier documents, and an issued invoice cannot be edited, so check the text before pressing Issue. The footer, by contrast, is read from Settings at the moment of printing.
On credit notes
On credit and debit notes, the notes box becomes the reason for issuing, which is required and prints as the reason. So do not put general text there.
