Credit limits and customer credit hold

Set a debt ceiling for each customer, and choose whether the system warns you or blocks issuing when it is passed.

Set the limit on the customer card

Open Customers & suppliers, press Edit beside the customer and type the amount in Credit limit (1). Their current position shows under it: Open, which is everything still owed on their invoices, and Oldest overdue. Exempt from credit hold (2) is for a customer who is never held.
Set the limit on the customer card

Choose what the system does

Open Settings and go down to Customer credit hold. Under Credit hold (1) there are three choices:

  • Off: the system stays out of it.
  • Warn and issue: the document goes through with a warning.
  • Block issuing: the document is refused with a message stating the balance and limit.

Under Hold after overdue days (2) enter a number to also hold a customer with an invoice overdue by more than that. 0 ignores how overdue a customer is.

The default is Off. Writing a limit on the customer card stops nothing until you change this setting.

See where they stand while you work

When you pick the customer on a quote, sales order or invoice, a badge shows under the name: Within credit, Over credit, Credit hold or Exempt, with the Limit and Open figures, counting the document you are writing. The hold applies when an invoice is issued, a sales order is confirmed and a delivery note is delivered.

Letting one invoice through

With Block issuing, someone with approval rights can release one specific invoice without changing the setting. This needs Approvals in your subscription, with Credit release (sales invoices) switched on in its settings. The approval request then shows on the invoice page, and the sign-off covers that invoice alone.
