This connects your business to ZATCA's Fatoora platform. Each invoice is signed electronically and sent automatically: a standard tax invoice is cleared before it reaches the buyer, and a simplified one is handed over and then reported. You need no device or outside unit, as everything happens inside the product.
Before you start
- The business VAT number and address in Settings.
- Access to the Fatoora portal to generate the OTP.
- The VAT filing permission in your books.
Setting it up
Open the onboarding screen
In the side menu, under Setup, choose E-invoicing. On the Onboarding card make sure the Environment is Production. One step opens at a time.
Create the signing key
Press Create the key. A private key and a certificate request are made, and the key never leaves your books.
Enter the Fatoora OTP
Open the Fatoora portal, add a new device and copy the six-digit OTP. Paste it into the box and press Link the device.
The code is spent on every attempt, successful or not. Do not retry with the same code, and make sure it was issued for the environment you are on.
Activate the production certificate
Once the compliance checks pass, press Activate. The status Connected appears with the certificate's details and expiry date.
- Issue the invoice
- Sign
- Send to ZATCA
- Cleared or reported
Follow the documents
The screen shows document counts by status and a table you can filter. Open a refused document to read ZATCA's wording, put the cause right and press Correct and file again.
What moves across
- Books to ZATCA: standard tax invoices for clearance before delivery.
- Books to ZATCA: simplified invoices, reported after delivery.
- Books to ZATCA: the credit and debit notes tied to them.
- ZATCA to Books: each document's result and any refusal text, shown as its status on screen.
Troubleshooting
Linking the device failed
The attempt spent the code. Generate a new one on the Fatoora portal for the same environment and try again.
A message says the business address is incomplete
Complete the fields the message names, through its link to Settings, as the document cannot be built without them.
The certificate is about to expire
A warning shows before expiry. Get a new OTP from the Fatoora portal and enter it under Renew the certificate. A lapsed certificate stops invoices going out.
ZATCA refused an invoice
Read the refusal text, fix the cause and press Correct and file again. The document is signed afresh, and the refused one stays in the archive.
I want to change environment after connecting
Changing environment starts a second onboarding with its own key, certificate and numbering chain. Nothing already filed changes.
