Basmtak Cashier

Every till session you close reaches your books as one journal.

Basmtak Cashier sends your books one journal per closed session, along with valued stock moves, supplier bills from goods receipts, and card settlements. The link runs one way, from Cashier to Books, using an API key you create.

Before you start

  • A Basmtak Cashier account with manager access.
  • An API key from your books. API keys depend on your subscription plan.

Setting it up

Create the API key in Books

In Books open Businesses & people, then the API keys tab, and press New key. Name it, pick the person under Acts as, scroll the row of scopes sideways and grant journals:write and accounts:read, plus stock:write, bills:write and settlements:write for stock, purchases and settlements. Press Create the key and copy it at once.
The key is shown only once. If you lose it, rotate it from the list and put the new one in Cashier.
Create the API key in Books

Paste the key into Cashier

In the Cashier back office open Integrations, then the Basmtak Books card in the Accounting group. Paste the API key and press Test connection until you see Connected.

Map the accounts

Press Map automatically so Cashier reads your chart and suggests an account for each journal line, such as cash, sales, VAT and card clearing. Review the Account mapping table, fill in any gaps with the account code, then save.
An unmapped account stops the journals until it is mapped, and the screen tells you how many are left.

Close a session and check

Close a session in Cashier, then open Journals in Books and find its entry. It holds the sales, the VAT and the takings by payment method.

What moves across

  • Cashier to Books: one journal per closed session.
  • Cashier to Books: valued stock moves per session at the branch warehouse, with no extra journal, because the session journal already booked the cost.
  • Cashier to Books: a supplier bill for each goods receipt, then its payments, returns and voids.
  • Cashier to Books: card settlements with their fees and VAT, and the bank line is matched in reconciliation.
  • Books to Cashier: the chart of accounts is read for the automatic mapping only.

Troubleshooting

The connection test failed
Make sure the whole key was copied, that it has not been revoked or expired, and that the Books subscription is active.
Map automatically says the key cannot read accounts
A key's scopes do not change after it is created. Create a new key with accounts:read and the other scopes, and put it in Cashier.
Can a session journal repeat if Cashier resends it?
No. Each session has a fixed id, and a repeat returns the same journal.
I reversed a session journal in Books and no correction arrived
Resending the same id returns the reversed journal as it is, so a correction needs a new journal under a new id.
