Reverse a posted journal

A posted journal is not edited. Its effect is cancelled by a mirror entry that stays on record, then you write the right one.

3 min read 4 steps Open this screen in Books

Open the journal and press Reverse

In Journals open the journal, searching by number or memo if you need to. If its status is Posted you will see the Reverse button.
Open the journal and press Reverse

Pick the date and create the reversal

Set the Reversal date and press Create the reversal. A new journal is made with the same lines, debit and credit swapped, and posted at once, so the original has no remaining effect.

The date must fall in an open month. If the original sits in a closed month, choose a date in an open one or reopen the month first.

Rent expense (the original debit line, swapped)5,000.00

Write the correct journal

The original stays on record as Reversed, and each journal links to the other (Reversed by and Reversal of). Reversing only clears the mistake, so if you wanted another amount or account, write a new correct journal.

If there is no Reverse button

A journal that came from a document, like an invoice, a note, a voucher or a bank entry, is not reversed from the journal screen, and a message above it says so. Reversing the entry alone would leave the invoice owing while the ledger says otherwise. Correct the document itself and it reverses its own journal.

A draft has nothing to reverse because it never reached the books. Use Void draft.
