This feature comes with certain plans. If it is not in your menu, it is not in your business's plan.
Open a quick expense
In the side menu choose Purchases, and on Overview press Quick expense. Use it for what you paid at once, such as fuel, hospitality or a small repair. Anything you will pay later, or goods entering stock, belongs on a supplier bill.
Fill in the expense
- Supplier: required. If they are not on file, type the name and choose New supplier.
- Paid from (1): the cash or bank account the money left.
- Expense / asset account (2): what the money was spent on.
- Amount before VAT: enter it before VAT and pick the right Tax rate; a receipt with no VAT needs a different rate.
One receipt covering several kinds of expense? Add a line for each.
Save the expense
Press Save the expense (3). Books creates a posted supplier bill with its payment and takes you to the bill, marked Paid. Nothing stays owing to the supplier, and the VAT lands in input VAT.
| Account | Debit | Credit |
|---|---|---|
| Expense account | 200.00 | |
| VAT input | 30.00 | |
| Cash or bank | 230.00 |
Because the expense posts as a bill, it cannot be edited after saving. To correct it, void the payment under Payments, then raise a Debit note on the bill.
